Registration/Badge inquiries
- How many exhibitor badges is my company entitled to?
Four complimentary exhibitor badges are allotted per 10’ x 10’ booth. Additional Exhibitor badges are only $50. Exhibitors may upgrade to the Conference Package at the special exhibitor rate of $99 per person. - Does the exhibitor badge give me access to any seminars?
Exhibitor badges include access to the exhibit hall, the opening reception, the featured speaker and Vendor Presentations. Access to the seminars may be purchased by registering for the Conference Package. - What is the cost to upgrade a badge to an Conference Package?
Exhibitors can register for the Conference Package for the discounted rate of $99 per registration. - How do I pick-up my badge at the conference?
Registration confirmations with a unique barcode will be sent to both your company’s show coordinator as well as the individual booth personnel. Please bring your printed confirmation to the Advanced Registration counter at the Sands Expo, Hall B to print your badge.

- What's included in my booth space?
Booths include the following equipment: 8’ high back drape wall, 36” high side rails, 7” x 44” id sign. Any additional products and services such as carpet, furnishings, electrical and internet should be purchased though the appropriate vendor. - When is exhibitor move-in and move-out?

Freeman is the official show decorator. Please contact Freeman for furniture, carpet, labor and drayage (shipping). Please contact SES for electrical, internet, telecom, booth cleaning and catering needs. Information for both of these vendors can be found in your exhibitor kit. - Where should I ship my materials?
There are two places that you may ship your booth to for the show- the advance warehouse and directly to show site. Further information and mailing labels are included in the exhibitor kit.
Advance Warehouse:
Shipping to the Advance Warehouse is always the preferred method. If shipping to the Advance Warehouse, you will have enough time to track your shipment and make sure that it has arrived before the show. In addition, your freight will be waiting for you in your booth upon move-in. Items must be delivered to the warehouse beginning September 21 and no later than October 12, 2010.
Direct shipments:
If necessary, items may be shipped directly to the show site. This is not the preferred method for shipping your booth, as many carriers will not guarantee a delivery time, and you may not receive your shipment until the last minute. Also, it does not allow you much time to track your shipment. Shipments to the show site are generally used for last minute marketing materials and giveaways. Shipments may only arrive on or after October 19, 2010 if shipped directly to the show. - What can I hand-carry into the exhibit hall?
Hand carry items are permitted to be brought in through the main entrance of the show, not through the dock/freight doors. Items are to be hand carried by one company employee without assistance or equipment (i.e. hand trucks and dollies). However you can roll-in a standard “pop-up” booth that is on wheels. - Can I teardown my booth before the show floor closes?
No, for safety reasons exhibitors may not teardown their booth before the show floor closes.
General Inquiries
- Are there any additional show rules and regulations?
Distribution of materials outside of your booth is prohibited.
Children under the age of 18 are not permitted on show floor outside of show hours during show hours, children under the age of 18 are permitted, however parent/guardians are solely responsible for these children. The show floor contains product samples so it is very important that anyone under the age of 18 is supervised at all times.
- Food and beverage sample limits
Items dispensed are limited to products manufactured, processed, or distributed by exhibiting company. Exceptions are cappuccino machines, espresso coffee, soft drink dispensers, or logo bottled water.
Food and beverage items used as traffic promoters (i.e, popcorn, coffee, bar service, ice cream) must be purchased from the SES Catering Department. Open container (i.e. individual cups) samples are limited to five (5) ounces per serving. Closed container (i.e. sealed bottles, cans, ect.) are limited to twenty (20) ounces per serving. - Responsibility for security
Expo Management will employ guards and will take reasonable precaution to safeguard the exhibitor’s property. However, Expo Management will not be liable for loss or damage to the property of the exhibitor or his representatives or employees from theft, fire, accident or any other cause beyond its control. We strongly encourage you to remove any valuable items from your booth when it is not staffed by your employees. - Height limits
Inline booths have a height limit of 8' high up to 4' from the back wall and 3' high after. Island booths have a height limit of 16'. - Photography and videotaping
Photography and videotaping are prohibited throughout the show including but not limited to the exhibit hall, vendor presentations, education sessions and all receptions. - Union and EAC guidelines
Please refer to the exhibitor kit for union and EAC guidelines. To receive the EAC form, please send an e-mail to sfeller@vpico.com. - Where can I access the exhibitor kit? The exhibitor kit is sent to the company contact for the show. If you are the company contact and have not received the exhibitor kit please send an e-mail to sfeller@vpico.com to request the kit.
- What free marketing opportunities are available to exhibitors? Send us your releases for starters! - What is the host hotel?
The Venetian Resort Hotel Casino is the host hotel. Each reservation may be filled at the Venetian, Venezia or Palazzo Resort. When booking your reservation be sure to mention the SupplySide West Trade Show to receive the discounted rate. Click here for details.
- How do I obtain a user name and password for SupplySide Connect?
You will receive your user name and password in the confirmation email you receive when you register. Please be aware that you are not automatically registered for SupplySide when your company reserves a booth. Click here to register your booth personnel now. If you did not receive your registration confirmation email, check with the expo coordinator for your company or the person who registered you. You can also contact Scott Feller if you need assistance sfeller@vpico.com. - Why isn't my company name displayed in the search results for ingredients/products/services that we offer?
The exhibitor search functionality we offer our attendees on the SupplySide Web site and within the SupplySide Connect tool is based on the data we collect for the Natural Products INSIDER Buyer's Guide. If you feel that your company's name should be displayed for a certain set of search parameters, you should check your buyer's guide listing to be sure that you have indicated that you offer those ingredients/products/services. To correct errors, please update your buyer's guide listing and then wait 24 hours for the changes to transfer to SupplySide Connect. Click here to update your buyer's guide listing now. - How do I correct the address information or contact information for my company in the SupplySide Connect search results?
Your company's contact information and profile details for SupplySide Connect will be based on the information you submit when you update your buyer's guide listing for Natural Products INSIDER. If you notice errors in your company's SupplySide Connect listing, please update your buyer's guide listing and wait 24 hours for the changes to transfer to SupplySide Connect. Click here to update your buyer's guide listing now. - How do I send messages or meeting requests to attendees?
SupplySide Connect is intended to help SupplySide attendees contact exhibitors and prepare for the show. SupplySide Connect is not intended to be used for sending unrequested commercial or promotional messages or soliciting sales. To send messages and meeting requests to attendees, you must have an enhanced exhibitor package. If you are interested in purchasing an enhanced exhibitor package, contact your sales rep and ask about the enhanced exhibitor package for SupplySide Connect.
